A prospect fills out your demo request form. The lead lands in HubSpot. Then it sits there — unassigned — while your team figures out who should own it. Maybe a workflow assigns it eventually. Maybe someone notices it in a queue. By the time a rep reaches out, the prospect has already booked a call with your competitor.
Speed-to-lead is the single biggest driver of conversion from inbound, and most HubSpot teams are losing it because their routing is slow, manual, or broken.
The solution
Build a FlowRouter flow that triggers on form submissions. Add a Condition node to segment by lead type, company size, or any HubSpot property. Route qualified leads to a Round Robin pool that distributes fairly across your team — with capacity caps so no rep gets buried and schedule awareness so leads only go to reps who are online.
Add an SLA Timer to enforce response times. If a rep does not engage within your SLA window, FlowRouter automatically reassigns the lead or escalates to a manager.
A typical inbound routing flow looks like this:
Trigger (form submission) → Condition (qualified vs. unqualified) → Round Robin (sales pool) → Assignment (set HubSpot owner) → Send Email (notify the rep)
